Safety Guidelines for Whidbey Elite 360 Training Sessions

At Whidbey Elite 360, we prioritize the well-being of all participants in our youth softball coaching programs (ages 10+). These guidelines, informed by best practices from organizations like Little League International, USA Softball, and sports safety experts, are designed to create a secure environment within our non-permanent tent structure. We appreciate your cooperation in following them to ensure enjoyable and injury-free experiences for everyone. Please review these before each session, and feel free to ask our coaches for clarification.

General Safety Guidelines

  • Supervision and Access: All participants must be supervised by a certified coach at all times. No unsupervised access to equipment or the facility is permitted to prevent accidents.

  • Protective Gear: Helmets with face guards, batting gloves, and appropriate athletic footwear (no metal cleats or spikes on turf to avoid damage and slips) must be worn during all activities involving balls or bats.

  • Health and Hydration: Participants should disclose any medical conditions or injuries via the intake form. Stay hydrated, take breaks as needed, and stop immediately if feeling unwell.

  • Emergency Preparedness: Familiarize yourself with exit points in the tent structure. Coaches are CPR-certified and equipped with first-aid kits; in case of emergency, follow coach instructions calmly.

  • Weather Awareness: Sessions may be adjusted or canceled due to inclement weather affecting the tent's stability—check updates via our newsletter or website.

Sport-Specific Guidelines for Softball Training

  • Batting Cages: Only one batter and one adult coach/pitcher per cage at a time when pitching machine is in use. Enter and exit retractable cages carefully to avoid entanglement. Always use an L-screen or protective barrier for live pitching. No swinging bats outside designated areas to prevent strikes to others.

  • Pitching Machines: Operated exclusively by trained adult coaches. Maintain a safe distance (at least 40-60 feet) from the machine during use. Never retrieve balls while the machine is active, and ensure clear communication (e.g., "ready?") before feeding balls.

  • Turf Areas: Walk mindfully to avoid trips on seams or edges. No food, gum, or sharp objects on the turf to preserve surface integrity and prevent slips. Use only softball-appropriate equipment to minimize wear. This includes rubber cleats only inside the facility.

Facility Rules for Whidbey Elite 360

We strive to maintain a positive, supportive atmosphere in our training facility, guided by standards from youth sports organizations like the National Standards for Youth Sports and Little League. Your adherence helps foster respect and focus for all involved—thank you for partnering with us in this.

  • General Conduct: Treat all participants, coaches, and equipment with respect. No running, horseplay, or unauthorized use of gear outside coached activities.

  • Parent/Guardian Observation: We welcome parents and guardians to observe sessions quietly from designated viewing areas, as your support means the world to young athletes. However, to maintain a focused environment, please refrain from coaching, directing, or intervening during training—our certified coaches are here to guide progress effectively.

  • Behavior Expectations: Disrespectful actions, such as yelling, unsportsmanlike language, or disruptions toward players, coaches, or others, will not be tolerated and may result in immediate removal from the facility to ensure a safe and positive space for everyone. Repeated incidents could lead to suspension from future sessions.

  • Cleanliness and Etiquette: Please clean up after yourself, dispose of trash properly, and respect time limits to allow smooth transitions between groups.

Liability Information

Participation in sports activities inherently involves risks, including potential injury from equipment like batting cages or pitching machines, as noted in guidelines from sports safety institutes. By enrolling, you acknowledge these risks and agree to our waiver, which includes a release of liability for Whidbey Elite 360, its coaches, and affiliates from claims arising from ordinary negligence—while we take every precaution based on top research, ultimate responsibility for personal safety lies with participants and guardians.
